Deadline reminders: your email address and the company numbers you ask us to watch. Lawful basis: consent — you sign up, then confirm by clicking a link we email you (double opt-in), and every email carries a one-click unsubscribe that deletes the reminder records.
Validator uploads: the accounts file you upload is processed in memory on our server and deleted the moment your report is produced. We keep no copy and no extract of its contents — only an anonymous counter (number of validations, pass/fail counts).
Free tool lookups: company numbers you check are read live from the public Companies House register. We log lookup counts and the company numbers queried for service statistics; these are not linked to you unless you also sign up for reminders.
No tracking: no third-party analytics, no advertising cookies, no cross-site anything. Our only counters are our own, stated above.
Reminder records: until you unsubscribe, plus a suppression entry so we do not email you again. Event counters: indefinitely, in anonymous aggregate. Uploaded files: seconds.
We use a transactional email provider to send confirmation and reminder emails, and a hosting provider to run this site — both act as processors under contract. We do not sell or share your data with anyone else. Companies House data comes from, and stays on, the public register.
Access, rectification, erasure, restriction, portability, objection — email hello@closeandfile.co.uk and we act within one month. You can complain to the Information Commissioner's Office (ico.org.uk).
